Call to Order & Roll Call (Quorum = 8): President Townsend called the meeting to order at 12:30 PM.
Previous Minutes (Townsend): The minutes of the last meeting were approved with one correction. The reference to the “Haiti Water Project” was changed to be the “Haiti Hurricane Relief Project.”
President’s
Report (Townsend): President Ron reminded everyone that the monthly
Social Hour will be held next Thursday evening at 5:00 PM at The Beeches. He
further mentioned the RFA JROTC fundraising event to be held on 11/23 and
reiterated how much this group provides support to many of our events. There
will be Salvation Army Bell Ringing on 12/13. Ron is thinking about a
mid-winter party and will report back with more details in the future.
Secretary’s
Report (Schonewetter):

Leaves of absence. Jim Donovan working in
Texas (through 12/31) & Ronda Bauer for health reasons (through 12/31)
— both approved.

Treasurer’s Report (Graves): The Treasurer’s Reports for Jun through Oct were received and duly recorded. They were all written reports since the Treasurer was excused from the meeting. Treasurer Missy’s comments are listed below.
· July — Changed FY08-09 budget: Christmas party to $15,000; Roses for the living to $750; Interact Club $1,000; Rotary Foundation Pledge to $1,000 for Polio Plus (first of three years).
· $100 to Ft Stanwix — done.
· August — Added Backpack project and $500 to Rotary Project (question: should this just be added to the school backpack project already there?).
· $500 to crop walk — done.
· $226.06 to Rotary Readers (Packer) — done.
· Paid for guests meals for polio plus — Did not need to purchase books (check returned).
· October — added $5,000 to budget for D7150 Haiti Water Project (approved 07–08).
· $360 to North-East Dinner in Rochester (eight attended) — done (note: this takes us over the original amount budgeted for conferences.)
· $500 to Haiti Water Project for hurricane relief — done.
· Status of IRS form 990. The 2007 form 990 was due today, but a request for extension has been submitted by Kobernuss because of Missy’s family emergency trip to Florida.
· 2008–09 Amended Budget Discussion & Approval (Townsend). The amended budget was approved by the Board.

Reports:
· Membership (TBD). (Recruiting, orientations, inductions, and mentoring.) No report.
·
Public Relations (Mattacola). PP Mattacola
reminded everyone to send press releases to him and he will send them out.
·
Club Administration (Mercurio).
► Calendar Lottery for 2009 Discussion (Herrmann). PE Bob reported that all of the tickets are out and that $1,300 has been collected thus far.
► Club Election in December (Bahr). PP Glen announced that Joe Fusco has agreed to be nominated for the position of President-elect. There are still no volunteers for the VP position but both Steve Mercurio and Greg Mattacola have said they will serve if no one volunteers. The election will be held on 9 Dec 2008 in accordance with the Club’s bylaws.
► RRC 90th Anniversary on 1 Dec 2009 — Celebration? (Occhipinti). PDG Mike is looking for dates in 2009 for the event.
► 2009–10 Major Fundraiser Ideas (Mercurio). No report.

Club Projects (Herrmann).
► Interact Club at RFA — Progress (Herrmann/Neiley N). The Interact club completed their Pennies for Polio drive raising $363 total. About $160 was raised in the form of paper hands with donor name displayer on a wall. 60 cents, the cost of a single vaccination, was the price for a hand. The Club is continuing to plan a day trip to NYC. The agenda is still being worked on; some possibilities include the Museum of American History and the UN. The Club would like to use the funds for Interact included in the Rotary budget to supplement the trip.
► YE Student Information & Host Families Update (Herrmann/Neiley N). Simon Kristensen, our exchange student, attended a gathering with his three host families. Simon has also joined the RFA JROTC. We are trying to get him and some of the Interact students to attend the annual Rome Rotary Children's Christmas Party on 12/16.
► Halloween Parade/Party 2008 Report (Townsend). The event was a great success. The active participation of the RFA JROTC was noted as a key element of this success.
► Rotary Reader Program Update (Herrmann/Packer). No report.
► International Student Day Report (Townsend). The event was a success that attracted more than 40 foreign students to Rome.
► Healthcare Professional of the Year (Carnevale). PP Ray said that the next event will be held in the spring of 2009.
► Canalfest final report & contribution recommendations (Kobernuss). The recommendations listed below were all approved by the board.

► Pennies-for-Polio Update (Tuthill/Corbett). PDG Mike reported that money is now being received.
► Polio Dinner on 30 Jan 09 (Occhipinti). PDG Mike has arranged for a speaker from the Franklin Roosevelt Foundation to speak about President Roosevelt and his fight against polio. The event will be $25 per couple. The 1/30/09 Polio Dinner will be held at The Franklin.
Other
Old Business: None.
· Donation Request — Rome Youth Hockey Association — $2,000 (Till). PP Mattacola will do additional research on this request.
· Club Incorporation Status (Mattacola). PP Greg will form a small committee to discuss this and then report back to the Board.
Other
New Business:
· Donation request — American Red Cross — $1,000 (Schonewetter). A total of $1,000 was approved (including the Canalfest donations listed above).
· Donation request — YMCA/Harlem Choir — $? (Townsend). $100 for ten tickets was approved by the Board (Canalfest funds).
· Gift of Vision $600 contribution due to be paid to District 7150 (Schonewetter). This money has been requested and should be paid (it is a budgeted item).
· Donation Request — Civil Air Patrol Drill Team Rifles — $520 (Schonewetter). The Board approved this request (in addition to the Canalfest donation shown above — Canalfest funds).
